1. Introduction

Welcome to Holiday Matrix Private Limited ("Company", "we", "our", "us"). These Terms and Conditions govern all travel services provided by Holiday Matrix. By confirming a booking, you agree to be bound by these Terms.

2. Terms & Conditions — Domestic Holidays

  • Standard check-in time is 1400–1500 hrs and check-out time is 1100–1200 hrs, unless specified otherwise.
  • The hotel may ask for a refundable security deposit at the time of check-in, as per the hotel's discretion only.
  • Requests for early check-in or late checkout are subject to hotel availability and are completely upon hotel discretion.
  • A request for guaranteed early check-in requires a room to be reserved the night prior to the guest's arrival, which will be charged accordingly over and above the agreed rates.

3. Terms & Conditions — International Holidays

  • Standard check-in time is 1400–1500 hrs and check-out time is 1100–1200 hrs, unless specified otherwise.
  • The hotel may ask for a refundable security deposit at the time of check-in, as per the hotel's discretion only.
  • Any city tax or tourism dirham fees applicable will be directly paid by guests at the hotel, as they cannot be included in the package.
  • Requests for early check-in or late checkout are subject to hotel availability and are completely upon hotel discretion.
  • A request for guaranteed early check-in requires a room to be reserved the night prior to the guest's arrival, which will be charged accordingly over and above the agreed rates.
  • Breakfast served at the hotel will be on an international / continental menu, clubbed with some Indian dishes, only if available.
  • It is advisable to carry at least USD 500 (or equivalent currency) per person for personal usage during the package. Immigration authorities may demand a minimum of USD 500 at the time of immigration from Indian nationals.
  • We make all arrangements for Visa formality (courier charges are extra). We make every effort to maximise the chances of visa approval, however Holiday Matrix is not responsible for any Visa Rejection as it is a government agency that issues visas. Once applied, visa fees are non-refundable.
  • The tour cost does not include any Overseas Insurance Premium, but we strongly recommend an Overseas Insurance Policy. Once issued, the same is non-refundable.

4. Cancellation Policy — Domestic Holidays

Once booking is done, there will be no amendment or cancellation allowed, and no refund will be permissible in any case.

5. Cancellation Policy — International Holidays

Once booking is done, there will be no amendment or cancellation allowed, and no refund will be permissible in any case.

* Visa fee & service charges are non-refundable once processed.

6. Booking Terms for Holidays

  • ₹10,000 per person as token amount AND air fare & non-refundable hotel charges, if any, at the time of booking.
  • 50% of the total package amount is to be made before 45 days of departure.
  • 70% of the total package amount is to be made before 30 days of departure.
  • 100% of the total package amount is to be made before 21 days of departure.
  • In case of cancellation, standard cancellation policies will be applicable or may be changed as per supplier policies.

Note: Air fare is calculated at the time of proposal creation and is subject to change at the time of booking.

7. Travel Documents

It is the responsibility of the traveler to ensure they have valid travel documents including:

  • Valid passport with at least 6 months validity from the date of return
  • Required visas for the destination country
  • Travel insurance (strongly recommended)
  • Any other documents required by the destination country

Holiday Matrix will not be responsible for any issues arising from inadequate or invalid travel documents.

8. Limitation of Liability

Holiday Matrix acts as an intermediary between travelers and service providers (hotels, airlines, etc.). We shall not be liable for:

  • Any injury, loss, damage, accident, delay, or irregularity caused by third-party service providers
  • Changes in itinerary due to weather, political situations, or other unforeseen circumstances
  • Loss of personal belongings during travel
  • Any additional expenses incurred due to delays or changes not within our control

9. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising shall be subject to the exclusive jurisdiction of the courts in Delhi, India.
